Legal Assistant, Trust Administration
Position Brief
We are looking for a part-time (20-25 hrs/wk), organized, self-motivated and client service-oriented legal assistant to join our team. They will be assisting our Senior Paralegal, Trust Administration, to ensure the smooth and effective administration (after death) of our client’s estate plans by working with clients, financial advisors, and institutions to administer trusts.
Responsibilities
- Gather financial information and documentation from clients and follow up as needed for any missing information
- Scan and save financials to NetDocuments
- Answering incoming phone calls as needed
- Communicate case status updates to interested parties and answer questions as appropriate
- Create and update asset spreadsheets for trust administration
- Assist with preparation and filing of probate paperwork
- Draft and record deeds and related documents for real estate transfers
- Prepare documents necessary to distribute assets and coordinate with financial planner/institutions as needed
- Assist paralegals and attorney(s) in preparing for and conducting trust administration meetings as well as completing follow-up, and corresponding with clients and financial advisors as to next steps
- Communicate and correspond with financial advisors, institutions, property and casualty insurance professionals, CPA’s, and other attorneys as needed to facilitate the trust administration process
- Demonstrate firm mission and values in all interactions with clients, team members, financial advisors, institutions, etc.
Requirements
- Professional demeanor and ability to confidently interact with clients and financial professionals
- Good phone and email communication skills
- Prior experience in an estate planning or financial planning office preferred
- Ability to organize and prioritize tasks
- Enjoys problem solving
- Proficient in MS Office Suite
- Willing to learn new systems, terminology and technology
- Able to identify and communicate where systems and processes can be improved
- Extremely organized and detail-oriented
- Possess a strong desire to help people
- Team player
